Editorial

Happy New Year and blessings for the Chinese Year of the Goat. Welcome to our new issue of Longhair Australian News. We had a very productive year in 2002. Our LAN2 system was successfully installed by our IT team. We have included our new “Policy for Branding Digital Data for Preservation to last 500 years” for the Buddhist Discussion Centre (Upwey) Ltd. The Centre’s database has been developed, and we have attached the preliminary report in this Longhair issue. You will also find much information collated from our internal email systems as well as a research essay about Internet Commerce, and much more. May you enjoy reading this issue of Longhair Australian News.


Distribution Frequency

We estimate that we will produce four issues of Longhair Australian News in 2003. We had a big gap between the Longhair production of Volume 1 on 11 January 2002 until Volume 2 on 1 February 2003. This has occurred because in 2002 Members prepared for and attended the World Fellowship of Buddhists International Conference in Malaysia. Members were also busy with the maintenance and upgrading for our Temple.


Introduction

The question that now confronts the Chan Academy Australia is not simply whether processes of globalisation are fast making all previous political maps of the world obsolete, but how we should be responding in the prospect?

Globalisation processes bring change faster than ever before in history.

Our next project is to set up our own Internet server at our Centre to build PHOTOLAN. It will contain hundreds of Buddhist Images that will be searchable offline as well as online on the Internet thus enabling Buddha Dhamma practitioners around the globe to benefit from this information. An image can say more than a million words, as they contain many blessings. The PHOTOLAN website will contain rare Buddhist artifacts stored at our Centre as well as photographs from specific Buddhist events including visits from Venerable Monks and Nuns and Conferences.

The life cycle of our PHOTOLAN is creation, input, integration, correction, structuring and organisation, updating, storage, searching, querying, retrieval, dissemination, transmission, uploading, downloading, linking, etc.

We keep up to date with the latest ICT philosophy and developments by

reading of technical literature;
understanding and making use of computer technology in an everyday context;
using digital products already available, to carry out tasks as a student, teacher or researcher more quickly and efficiently, and to combat sectorial specialisation, which is suffocating philosophy, in favour of a more fruitful interdisciplinarity;
enlarging the range of products that are theoretically feasible. As elementary examples, one may think of the opportunity of listening to Buddhist Hour programs or viewing hundreds of Buddhist Images on the Internet;
presenting ourselves not only as philosophers but also as informed and intelligent users, who can enter into dialogue with industry and promote the production of new technological solutions in order to obtain increasingly adequate and flexible services from the International Computer Technology (ICT) market.

We as philosophers should be able to get the most out of what has been made easier by ICT, get the best out of what has been made possible for the first time by ICT, and finally suggest new ICT applications for future needs. Our aim is to fulfill these goals.

These ideas are presented in Luciano Floridi’s (1999) book ‘Philosophy and Computing: an introduction’.

Globalisation provides much more material for further study as it has an effect on politics, economics and culture.

We want to deliver a mass education system about the best insights that Buddha Dhamma can deliver.



The Longhair Story


We dedicate this publication to our women Members who handle the loading of data to our websites. At present, we have four female webmasters: Helen Appleyard, Leanne Eames, Evelin Halls, Anita Hughes and Pennie White; and one male webmaster: Julian Bamford.

Sad to say, our male webmaster at our Centre is bald. The five female webmasters have long hair. Since it is mainly our female ‘longhairs’ who attend to our websites we sought a title to reflect this fact. The initials from it read ‘LAN’ that generally stands for Local Area Network.

In the New Shorter Oxford English Dictionary, ‘longhair’ means a person or animal with longer hair than usual; a clever person, an aesthete, an intellectual; a devotee of classical (as opposed to popular) music; later it became to mean a hippy, a beatnik.

We discount this latter meaning.

Our lemma for our Longhair Australian News Publication is ‘You shall know by experience’, which was written down in the Latin form ‘Experiundo scies’ by Terence in circa 160 B.C. This quotation is in ‘A New Dictionary of Quotations’ selected and edited by H. L. Mencken, published in 1991 by Alfred A. Knopf, New York.

This Longhair Australian News publication is dedicated to persons who will come and help us in the future with information technology.

In their operations, our webmasters gather much information each for himself or herself and need to communicate this information between themselves. At the same time, we guess that the information we gather could be valuable to other persons who are confronted with the day-by-day running of websites.

Our publications stimulate the energy, enterprise and intellect of persons, and quicken human genius. Comparison of Information Technology ideas is educational and this present LAN publication is designed for the common glory of Members’ training since we plan to put this information on one of our websites for ease of access. It may even become an international asset to others who need to learn.



The broad objectives of the Longhair Australian News is to raise the cognitive level of readers. To do this, we

1. inform persons of product information;
2. inform persons of what text or photos or multimedia is added onto our websites week by week (What is new on our websites);
3. publish our documentation of technical help notes and instructions developed;
4. keep an accurate record of backups for what has been uploaded onto our sites and when, as well as a list of Compact Discs we have burnt;
5. inform persons of equipment we have installed;
6. inform persons of equipment we aim to acquire;
7. publish documentation on our recording and library practices;
8. map and picture ways of finding out what happens on our sites (Site Maps);
9. publish our statistics;
10. make our publications accessible (Longhair Publications including monographs);
11. To present coming information (Next Issue Preview)

We like the adventure of seeing thousands of visitors come to our sites.

We encourage each webmaster to send an internal email on our LAN giving information of what data was loaded and when. These emails are then copied and pasted into our Longhair Australian News.

brand: a particular product or a characteristic that identifies a particular producer; a particular kind or variety; to place indelibly in the memory.


brand recognition: Consumer knowledge of a product name or organisation.

digital:

marketing: the process of planning and executing the conception, pricing, promotion and distribution of ideas, goods and services to create exchanges that satisfy individual and organisational objectives.

0.0 Executive Summary

It would be unwise to use BDCU (see 2.1). Our Buddha Dhamma Wheel Logo is suitable (See proposed logo on Title Page).

A search with www.google.com in English of "Chan Academy" found no other user of the name in English (see appendix). We have been using this logo since it was registered as a business name in Victoria in 1985. We think there is a Chan Academy in Taiwan run by a Buddhist nun, so we will need to do a search of Chinese language on the Web. If nothing shows up, We have a Chinese Chan Academy seal which we could use with our Buddhist logo.

The brand may incorporate one or two of our logos. The words Chan Academy will be written in English.

We will deliver two versions – one in black and white – the other in colour. We may use the Buddhist Flag in colour for some products.

1.0 Introduction to our present problems arising from non systematic labeling of work in progress

The problem is we are burning and labeling CDs, storing mini disks, videos and floppy disks without a common branding format. If we gave a copy away to any organisation, our lack of systematic branding would reflect on our professionalism.

How do we get to market without brand redesign? We believe that, as an organisation that has not a brand position for the Internet, and for all the products we might market it is necessary to create an effective brand strategy as quickly and effectively as possible.

Our brand ought to last 500 years.

We know we want to distribute and store branded information in various modern media.

We are learning to handle and preserve captured data in digital form at a faster pace. For example, we have hundreds of photographs from three digital cameras and we must back up and brand this data for our internet use. The Buddhist Foundation (Vic) Australia Inc. need a store of photos for their website. We may supply them.

We must have a distinctive brand for such things.

We request the Chief God of Information Technology, the Devas and Devatas of Learning, the Devas and Devatas of Administration, the Devas and Devatas of Organisational Development and the Deva of Transformations to assist the Members of our Centre, friends, helpers and users with the branding for the preservation of our digital data.

To assume that all stakeholders want to preserve our digital Buddha Dhamma data under our brand for as long as we do is not a sound proposition.

1.1 Advantages of having a brand.

Our brand establishes our copyright.

As if we wish to share old rare texts and letters with others, we must scan them and store them digitally so they can be viewed at will and searched when needed.

When printed out, they can be preserved as hard copy.

We want our brand to appear when this is done.

As long as our websites stay up they provide good storage space for branded material at low cost.

Branding brings us credit and wealth.

2.0 Criteria for selecting a brand

On the web newcomers can establish corporate images very quickly.

What Amazon.com did in three years took traditional companies generations years to achieve. Corporate image facilitates trust.

Traditional companies such as Intel, Disney, Walmart, Dell, and Cisco use their web activities to affirm their corporate identity and brand image.

Branding has always been considered to be a key to the success of e-tailers, but the drive to establish brand often leads to excessive spending. In one case, an upstart e-tailer spent over 50 percent of its venture capital funding on one 30-second television advertisement during the Superbowl game. In other cases, Web sites offered extravagant promotions and loss-lender offers to drive traffic to their sites, where they lost money in huge volumes.

The lesson from success stories is that most customers (and especially long-term customers) come to a Web site from affiliated links, search engines, or personal recommendations – not from Superbowl ads.

2.1 What are the properties of the brand we want now?

We do not want litigation with others who may claim our selected brand name.

It ought to have the possibility of becoming a registered trade mark.

The image our brand MUST reinforce concepts of is Buddha Dhamma

Our logo as an image is good for this goal.

We would like our brand to mean: this media contains good reliable information fit for use.

We would be unwise to use the brand BDCU because others use this brand.

A search of www.google.com for the brand BDCU returned 825 results.

There were five other users of the brand BDCU in the first 30 results.

They are: Bus Driver Certification Unit, Berrima District Credit Union, Boulder Dam Credit Union, and Bottom Dump Car Unloaders, and Burst Data Channel Units.

At present, by years of global prior uses, the closest thing we have to an unassailable brand is our Dhamma Chakkra Logo.

Not everyone has colour printers.

Our red or grey versions cannot be printed on ordinary printers.

What colour should it be?

We need to decide on whether the concept of non colour branding being reproducible on the low end of present technology is worthwhile or whether we want colour formats (or both) and work through such a plan.

3.0 Our Brand Building is Now Critical

The down side is if we continue as we are, we will have to rework all our stored material when we have a brand.

Now, we must first invest in gaining brand awareness among Members to stop them using old formats.

4.0 Thoughts on Branding for CD Physical Storage

At present, we think it is timely to think in terms of CD preservations as a passing technology. Perhaps ten years?

Whatever changes in technology occur, our brand might last 500 years unchanged.

The proposal is that all master floppy disks, CDs and Zip disks are stored in Suite 2A of the Centre.

Both copies should be placed in the on-line library and in the Suite 2A IT Store.

We want three branded copies of each CD.

Additional branded CDs are to be stored in selected Members’ private residences for further backup and their use. Those selected are our webmasters.

5.0 Aspects of On-site Storage Capabilities Need to be Planned.

We think it vital that archive copies ought to be in the library as part of the John D. Hughes Collection.

Digital storage does not take up much space.

Aspects of storage of the Paper Version have caused overcrowding at Suite 11, in Suite 2, in the Store, and the library in Suite 1 is near to full capacity. But CDs do not take up much space.

When PHOTOLAN is built, things will be easier.

6.0 Preparation of CD Abstracts

We have to develop more abstracts of the content on CDs. This is easy for digital material using the abstraction systems on Windows 98 on PC11.

7.0 Shelf Labeling Systems

The shelves in Suite 2A will be labeled in a system that is not confusing with the shelf numbers in the library. When we start at shelf 1000, there will be no confusion.

8.0 Safety Precautions on Labeling

We want no writing or sticky paper label on any disk.

The ink from pens and pencils causes trouble with the readers and if metal particles are in the ink they may cause the laser reader to explode.

In the past, sticky labels have come off floppy disks and jammed floppy disk readers.

Under no circumstances should rubber bands be used to secure a label to a floppy. They deteriorate and destroy discs.

We may use inert cardboard pockets specifically designed for floppy disks and Zip Disks from a suitable acid free cardboard.

CDs are to be labeled on the paper in the CD case.

Labels ought to be machine printed.

9.0 Handling of Branded CD Disks

We handle our branded disks with respect so we do not bend or scratch them.

The CDs contain our logo which is Buddha Dhamma material.

Do not store in dirty places.

It is important to leave no fingerprints or dirt on disks.

Moisture from fingerprints can cause an explosion of the laser reader.

CDs that are poorly stored can cause loss of data and damage of laser equipment. We use microfibrical optical cloths to clean CDs and a spray as used to clean eye glasses.

We are currently investigating if there is a type of suitable gloves we could use to handle CD disks.

10.0 Data Retrieval of Branded Stored Digital material.

The labels need to be highly visible.

We aim to have a retrieval time of 4 seconds from the store for CDs, floppy disks and videos.

This can be achieved by entering catalogue data into LAN2 which is searchable.

The entering of catalogue data should be done as soon as new disks are to be stored.

Preferably, we create a new Organise database software equivalent especially for digital material.

11.00 File Naming

There are certain rules and standards for the naming of files. Every Member who saves files onto our systems must be aware of the required standards.

List out method we want:

11.1 Website Files

When working with the web, we are moving out of the Windows environment and enter a mostly LINUX environment, which has different rules.

The rules for HTML files and JPG files are:

Lower case file names only
No spaces allowed in file names
Give meaningful names to HTML files
File names can be longer than 8 characters
Numbers are accepted
You can use the underscore

Note: It is helpful for webmasters to have clear file names as they must keep website files especially tidy. Old HTML files that are no longer in use must be deleted from the web server, otherwise they still can be found with search engines even though they are out of date. In addition, old files take unnecessary space on the server and clutter the environment.

11.2 LAN1 files

Files on LAN1 are currently limited to 8 characters as ISYS will not search files with longer file names.

11.3 LAN2 files

It is advisable to keep LAN2 files to a maximum of 8 characters to standardise, although LAN2 has a CGI search script that can find files with long names also.

11.4 Photograph Image files

We will not rename image files that automatically generate file names from the digital cameras.

If the digital cameras generate the same numbers, it does not matter as long as we take care not to overwrite files.

On PC5A and PC4 we have folders named digicam1 and digicam2.

On CDs, the labels serve to identify what is where.

12.0 Issues of bottlenecking on our Centre’s Internet Access PC4

Modifications to our websites via the appropriate website server is accessed from PC4.

We need to get a back up machine (PC4A) if PC4 fails.

PC4 is not for general storage and backup of new data.

When digital photographs are down loaded from the cameras, they must be saved to Zip Disk, 3 copies made to CD, the CD’s checked and then and only then are the digital photos to be deleted from the PC4 hard disk.

This means a quick work flow pattern.

12.1 Issues to consider when taking website files off PC4A:

When taking off websites from PC4A, it must be made completely sure that we have current website backups on CD.

This is presently not the case.

When files are burnt, they will be made read-only by default as it is the standard for CDs.

This means we cannot work directly off the CDs. If we want to work with website files from a CD, they have to be copied back onto the PC. Then the file properties have to be changed to disable the read-only setting.

How to make read-only files writable:

open the Windows explorer
right mouse click on the particular file
left mouse click on Properties
untick Read-only in the Attributes


Furthermore, Members work offsite with our websites and report results by email file updates to wbu@bdcu.org.au which are downloaded to PC4A.

If all website files are taken off this PC, we can only get a complete website backup if we download the entire website from the server onto the PC, back up data on Zip Disk, and then burn to CD.

This consumes time and may block PC4 for other email work.

14.0 LAN backups

All our LANs need digital backup (preferably daily).

14.1 LAN1 backup

LAN1 can be backed up on LAN2. This can be done by John Watson or by using the Centre’s zip drive.

We currently do not have a secure LAN1 backup.

We need to burn CDs for backup of LAN1.

14.2 LAN2 backup

At present, we back up LAN2 onto Zip Disks and burn the files onto CDs.

As the amount of files on LAN2 will increase, we might have to look at other backup devices at a later stage. John Watson has offered his help.

15.0 Next things we need to consider:

Mini disks, player and recorder, linked to PC
Digital video recorder
On the colour of a brand – Marketers know to avoid red, red has connotations of emergency or other unprofitable uses
Black also has some connotations
Grey might be acceptable
We do need to be able to print it on our black and white printers.

The John D. Hughes Collection stamp has a brand old world style is suitable for this library on books.

Dragon software is to be used for transcribing tapes.

We want to move to DVD play and write on-site.

15.0 Some partial solutions to the bottleneck problems

As awareness is raised, we want more Members to purchase CD burners so as to be able to help with the burning of CDs from their home.

Regular website backups are to be made by the designated webmasters.

We want a CD writer for LAN2, but the bulk of burning of CDs should be done by Members off-site.

Web Access will no longer be able to manage the maintenance and renewal of bsbonline.com.au using the reseller interface to Melbourne IT's domain name systems.

Potential Saving on Ink Cartridges

As we are getting a new Colour Inkjet Printer for PC5A and PC7A, I would like to suggest that we purchase 2 ink cartridges for this printer - 1 colour cartridge for printing colour images and the other black ink cartridge for printing documents/texts.

Also, buy a couple of ink refills - 2 for colour and 2 for black inks refills. A refill for Black ink may cost $14.00 and the colour ones for $ 18.00 instead of buying cartridges which cost $38.00 for Black ink and $80.00 for Coloured Inks. This is a huge savings and also environmental friendly.

All Members must be aware of what our core business is.

The core business of our Temple is to be white ant proof, to
increase our fire proof rating and to build the new library, kitchen and dining room area.

The Temple needs to be upgraded and maintained. Upgrades and new buildings must be in accordance with the Australian
Standard for buildings. All Members must know what these
standards are.

Those Members who will go to the WFB Conference in Malaysia must also know these standards and be able to recite them.

We will print out building plans and store them digitally on our IT systems so that everybody can have an isometric view of our buildings. Isometric means "applied to a method of projection or perspective, in which the plane of projection is equally inclined to the three principal axes of the object, so that all dimensions parallel to these axes are represented in their actual proportions..." (The Shorter Oxford English Dictionary, 1973).

Members should develop a broad view of what our core business is.

Our core business is in the loka field. Meditation is not core
business.

Every Member should help to raise funds for our core business.

Temples are essential for persons to learn and practice Buddha Dhamma. Buddha Dhamma is taught at Temples and it is the task of Teachers and Students to organise plans to look after the core business and carry them out, to maintain the standards required and be fully aware of those, and to raise funds.

We will keep having a good Return On Investment (ROI). New
buildings and upgrades will continue to be well planned and
debt-free.

The Temple's core business is every Member's business.

Amber now has an external email address on her PC in the Amber Room (PC2A).

Amber has the latest VET version (10.52.0.2) installed. No file viruses were found after doing a complete scan.

StarOffice 5.2 is installed also.

Amber's PC uses a separate phone line to connect to the Internet. The PC has been configured to use the Centre's hotkey account (formerly UNITE).

Please note that we can set up more than one PC to connect to our ISP account, but we should only be online with one PC at a time.

We would like to give Amber a better monitor as the present one can only display 256 colors.

Internet and email settings are documented in LAN1 file i:/ida/hotkey.rtf and on LAN2 at i:/hotkey.rtf.

On Sunday 11 August we received a gift for the John D. Hughes Collection of an English translation of a French language text 'The History of Pureland Buddhism' written by Anre De'Lubac.

The gift was made by the translator, retired English Teacher and scholar Mr.Amita Bhaka.

Our President Mr. Julian Bamford met Mr Bhaka at his home in Mt.Dandenong, where he was presented with six exercise books containing the handwritten translation.

Mr Bhaka, who is now 77 years of age, had been looking for some time to find the right place for these Dhamma treasures to be housed and protected.

He acquired a copy of the 'History of Pureland Buddhism' while in Paris France in 1962, commencing work on the translation into English on 23 February 1965, while living in Tamranoui New Zealand. He completed the work on 23 December 1968.

Some years later he wrote to Mr Lubac to inquire about the possibility of publishing the English translation.

In 1976 he received a letter from Mr Lubac, dated 23 April 1976. Mr Lubac was eighty years of age when he wrote the letter. Mr Lubac's letter of reply, written in French, is included with the six exercise books.

Mr Bhaka's requested that the original translation becomes part of the John D. Hughes Collection, and that a copy of any typed translation should also be given to another suitable Mahayana Buddha Dhamma library.

He was most pleased with the notion of the work being published online on one of our websites.

Mr Bhaka also gave three coloured prints to the Centre. They are:

When you email text for uploading onto our websites to our
webmasters, please send the text as attachment in the original
form.

You can copy and paste the text as well if you like. However, it is helpful for the webmasters to work with the original document, for example, the original rtf (Rich Text Format) file. This way all formatting is retained.

Text that is copied and pasted into emails loses some formatting and it might take the webmasters more time to get the HTML code right. This loss of formatting is not necessarily obvious to the email reader, but the webmasters will notice when converting the document.

For these reasons, the webmasters request the original documents sent as attachment when emailed.

858 digital image files in 6 folders have been stored to CDRom.
Space used on the CDRom is 519.6 MB. Three copies have been made.

The folders are titled:

tempzipstore
web
webready

The files were burnt to CD on 25 January 2003 by Julian
Bamford.

After random checking that the files had been successfully burnt to CD, the files were deleted from the PC15A C: drive.

Usually we obtain the Readability Statistics with Word via the
Spelling and Grammar Check.

However, if this process was run once on a specific document, it will either not work again or check only the remainder of the
document and give you the wrong statistics.

The best thing to do is to run the Spelling and Grammar check
only once, when you are sure that there will be no more edits,
and then you will obtain the correct statistics.

Each Spell and Grammar check done on a document goes into
the background code produced by Word and this memory code
cannot be cleaned or reset(at least not with our version, Word
97).

If you have problems to obtain the Readability Statistics, there is another way to obtain them.

1. Save your document to a floppy disk
2. Go to a machine that has Star Office loaded, for example
PC14A, PC4A, or PC13A, and open Star Office
3. Open your particular document
4. Save it as a text document (.txt)
5. Close the document
6. Go back to Word with the floppy and re-open your txt
document
7. Highlight the part you want the Readability Statistics for
8. Run the Spelling and Grammar Check
9. At the end, the statistics will pop up
10. Write down statistics on paper
11. Close txt document
12. Open your original document (usually rtf, Rich Text Format)
13. Type in statistics

Please note to use the text (.txt) document simply for the purpose of obtaining the statistics, as it may throw out some more complex formatting that you may want.

Issues 47 to 81 of the Brooking Street Bugle, held on the C:Drive of PC 4 have been saved to CDROM x 3 copies. They are stored in Suite 2A.

The files were saved to ZipDisk, downloaded to PC15A, then burnt to CDRom. On completion of storage onto CDRoms the files were deleted from the ZipDisks x 3 and from the PC15A folder: mydocuments/tempzipstore folder.

There are 1263 files, in 38 folders totalling 136.25MB, comprising:

modified jpg files for web application html files.

There were also:
bitmap files x 11
60 jpg masters x 60

The C: Drive has 502MB of capacity. As at 1 Jan 2003: free space equals 205MB and used space equals 296MB.

To achieve this the following actions were taken:

1. The folder C:/WINDOWS/TEMP has been emptied of 1297
TEMP files equalling 180.45MB. (deleted to recycle bin)

2. The folder C:/WINDOWS/TEMPORARY INTERNET FILES has been emptied of 25 TEMP files equalling 205 KB (deleted to recycle bin)

The WINDOWS 95 operating system creates the TEMP files, when 'real' files are created by a user, as part of its normal operating system. It does not have an automatic delete function for the TEMP files.

It is recommended that this maintenance action be scheduled to occur on all our PCs on the 1st day of each month, to prevent storage build up of unnecessary files.

Research was carried out to find out the best way to offer large fonts on our websites for those who might benefit from reading texts in a large font size.

The outcome is as follows:

Preferably we set no font size at all.

This will enable persons to set their browser preference according to their personal needs.

If we set the font size in "concrete", persons cannot change their text size with their individual browser to either larger or smaller.

Also, there are many different monitor sizes and to set 'no font' means that we cater for all monitor sizes.

Research has shown that over 90% of persons use the Internet Explorer as their preferred browser.

How to change your individual browser settings with the Internet Explorer:

go to view
go to text size
chose your text size
click apply

We have updated our Terms and Conditions. The new Terms and Conditions apply to all sites hosted by us. Please see our site for a full copy of our Terms and Conditions. The following are perhaps the most noteworthy changes:

Increased Traffic
---------------------
Sites not qualifying for unlimited traffic will now only be charged for traffic in excess of 2 gigabytes in any calendar month, rather than traffic in excess of 1 gigabyte.

10 MB Message Limit
-------------------------
An _extremely_ small percentage of mail messages (less than 5 messages in every 100,000 messages sent through our servers) exceed 10 MB in size. The problem is, these very large messages are very resource intensive to deliver, and can therefore degrade server performance for other clients. After considering all the factors, we have decided that it is necessary to implement a maximum message size, and have therefore set that limit at 10 MB.

Large File Limits
-------------------
Similarly, a very, very small percentage of websites contain either extremely large files or contain lots of moderately large files. These large files are very resource intensive to deliver and we feel that allowing very large files to be hosted on our servers is detrimental to the overwhelming majority of clients. We have therefore based the following limits on file sizes: No single file can be greater than 15 MB in size. Your site must not contain any more than 15 files over 1 MB in size. As mentioned above, this new clause will benefit almost all clients. If your site is currently not complying with these new rules please be sure to bring it into compliance by the end of November 2002.

The following information has been summarised from an email dated 26 December 2002 outlining the new and improved features of Oznet One email hosting.

SpamBoxer is our new anti-spam tool which you can use to protect any POP account or cellphone-enabled email address from spam (unsolicited email).

The Email Management section of the Control Panel now includes some new tools to make managing your POP accounts even easier:
- Reset your passwords
- Diagnose POP Problems

Virus Scanning

Our servers are now scanning incoming and outgoing mail for viruses. Our system will:
Block thousands of known viruses (such as BugBear, Klez etc)
Block virus-like attachments
Attachments which end in any of the following are dropped:

adp,bat,com,cpl,lnk,pif,reg,scr,shs,wsc,wsf,wsh
Those are the ones which are both dangerous and unlikely to be sent for any valid reason.

Attachments which end in any of the following are NOT being dropped but a warning message will appear in the main message advising the recipient that opening the attachment could be dangerous:

exe,cmd,jse,sct,shb,url
The reason these are not being dropped is that we believe it is likely that the files would be sent for valid reasons.

Regardless of the above rules, an attachment may be dropped if it appears to be dishonestly reporting itself. For example, a .exe file with a content-type of .wav, .jpg, etc would be dropped automatically. These need to be dropped because they can infect a machine without the person explicitly choosing to open them. Also, it is extremely unlikely that this sort of filename/content-type combination would be used for a valid reason.

Finally, while the overwhelming majority of messages passing through our servers are scanned thoroughly for viruses, please note that the following limits apply:

Messages larger than 2 MB are not scanned - scanning very large attachments is extremely resource intensive so is not appropriate in a shared hosting environment. Please note however, that the vast majority of viruses are spread in files smaller than 2 MB.
If a message contains 4 or more binary attachments, then only the first three are scanned. Again, this is a necessary limit to prevent overuse of resources, and we anticipate that it will affect very few messages.

WebMail has been completely revamped. New features include:

folders to store your mail
customizable interface (choose your own look and feel from a set of predefined templates)
- an address book
- custom message signatures
- ability to specify your reply-to address

When creating new documents using Lotus Word Pro, please do not save them as the default Lotus files (lwp) format.

Please go to the drop down box in Lotus and manually chose to save as Rich Text Format.

This helps to save persons' time because they don't have to convert the Lotus files into Rich Text for documents that will go onto the websites.

Also, ISYS presently does not search Lotus files.

Please remember to check in which format you are saving a document before clicking the SAVE button.

Subject: Procedure for switching mains power on.
Cc: All

Our mains power switchboard is located on the wall above the telephone in Suite 1.

The switchboard has overload switches fitted. If the load on our circuits becomes too high or if there is substantial power surge the mains power switch will turn off and the Centre will be without power.

To turn the power back on use the following procedure.

On the switchboard is one large blue switch on the left hand side and 11 smaller black switches in a row.

First turn all the black switches to the off position (down). Then push the blue switch to the on position (up).

Then push each black switch to the on position (up) one at a time. This means the power load is applied gradually to the mains switch.

Once all switches are in the on position the computer server will also have to be re-booted. The procedure for this is written in the computer log book kept next to PC4.

When we set up a new email user, the new user can send emails to "all" but does not receive emails from "all".

This is something that can be easily fixed by John Watson because it requires some specific coding.

The paper in the Rotatorium will be removed from the wood store and buried over the next week.

The Rotatorium is specifically for written Dhamma materials, paper and cardboard items on which Dhamma words and teachings are printed. Nature breaks up and rots these materials over time and this way we do not make the karma of viewing and treating the Dhamma materials as rubbish or destroying Dhamma materials.

Recently other paper materials are being put in the Rotatorium such as Reflex A4 paper packaging, newspapers and paper which has no Dhamma content. The Rotatorium is filling up quickly because of this.

Please do not use the Rotatorium for disposal of non Dhamma materials.

We will not use the re-size batch conversion function available in the image editing software anymore.

Although the batch conversion saves a lot of time, the images lose a significant amount of quality in the process.

Our standard is to prepare every photograph individually before it goes online in order to present maximum quality.

New UPS system

The new UPS - Uninterrupt Power Supply, is now installed on PC4A. The output from this unit is connected to a 4 outlets power board. Please do not use any of this outlet as the UPS is only configured for PC4A itself. Any additional usage of the power source will only defeats the sole purpose of this unit.

The UPS was tested this morning after a period of 36 hours of charging its battery. The main power supply to the UPS was switched off. The intention is to find out how long can the UPS provide power supply to its source before shutting itself off completely. Results are as follows :-

* When the main power supply to the UPS is switched off, the voltage supply is automatically dropped to 175 Volts. This is the minimum voltage level that the Computer require.

* From 0 to 10 minutes, the UPS will beep ONCE every 3 seconds.

* From 10 to 13 minutes, the UPS will beep ONCE every 1 second

* After that time, 13 minutes, the UPS shuts itself down completely.

Please Note :- The UPS is designed to maintain the power supply for 15 minutes. But, the UPS shuts itself earlier to prevent the battery from draining itself totally thus, damaging the whole UPS.

I believe the 13 minutes is by far sufficient to save all those works done on PC4A if there is a blackout occurring

PC5A Status

Dear All Readers,

As per feedback from Evelin on the above topic, there is consistently power shutdown during the PCs boot-up
procedure. I've tried switching the computer on 3 times this morning and confirmed the outcome.

Opened up the computer cover and inserted the graphics board back firmly into its slot. Did the same for all the rest of the connections as well as the power cables.

Boot-up the system without any problem. Everything is operating normally now. I have shifted the Desktop to the bottom shelf and the Scanner is moved up to the upper level. Please leave this arrangement as it is as it is more user friendly and OH&S.

I have tried to use the "2 Ways-Switch" to make life easier. Intention is to switch between the Scanner and the Iomega Zip Drive. I cannot get the "Switches" to work properly as there is a continuity problem between one of the ports. Therefore, if you need to use either one of the above equipment, please insert the connector to the back of the PC and make sure the power is switched OFF first.

All the following desktops have been scanned and defragmented today. This is part of the ongoing schedule to keep all the desktops in tip top conditions. Following are encountered when the above was conducted.

PC1A - Found some errors. Have them all fixed before defragmentation
No problem

PC4A - Found some problems when performing defragmentations. The disk was scanned in "Standard" mode
prior to defragmentations. Now have to scan in "Thorough" mode to fix those problems and performed defragmentation again. No Problem

PC5A - Scanned and Defragmentation without problem

PC6A - Scanned and Defragmentation without problem

PC7A - Scanned and Defragmentation without problem. There are a few sectors that are beyond repair. This is
due to wear and tear. No cause for concern for the mean time

PC8A - Scanned and Defragmentation without problem

PC13A- Scanned and Defragmentation without problem.

PC14A- Scanned and Defragmentation without problem

On 18 July 2002, Evelin copied images form PC4A in the digicam2 folder onto two zip disks. These are more images from the Conference and they have to be copied from the Zip disks onto PC5A, and then burnt onto CDs.

These images still need to be loaded onto the BDDR online to have all off the Conference photos online.

The zip disks are stored in Suite2A and are clearly labelled.

The files on the red zip disk are:

All other PCs still need the update to be carried out.

Please note: This new version of the VET program does not scan the 100 files every time you restart a computer anymore.

However, the VET is active at all times in the background and will come up with a message automatically should a virus be found.

PC4 has had the following maintenance carried out on it:

The C:WINDOWS/TEMP/Content.IE5 folder, and its four
subfolders, has been emptied of 45869 TEMP files, website cookie files and 5 holding folders. This action created 197MB of free space on the PC4 C Drive. The four subfolders are:

The C:WINDOWS/TEMP/Pez folder has been emptied of 26 files totalling 15.9MB. The temp files end in the prefix; .fpx

The C:WINDOWS/TEMP/Soffice.tmp folder has been emptied of 191 TEMP files in 27 TEMP folders. This action created 21.1MB of free space on the PC4 C Drive.

323 TMP (TEMP) files were also deleted from the C: Drive TEMP folder, creating 125KB of free space.

The Windows Recycle Bin was emptied to complete the maintenance work.

PC4 C: Drive has 1.5GB capacity, with 1.24GB of used space and 264 MB of free space as at 1 January 2003.

We recently received a donation of software for the Camberwell Market Stall.

Rather than sell it we will keep it for our own use.

The software is a PC User magazine CD and includes Internet Explorer 5, Crystal Reports 6 which is a dedicated report producing program which uses information created in a database, 50 productivity tools and 35 shareware utilities.

The CD is stored in Suite 2A software store.

De-commission of PC5A

Dear All,

As of today, PC5A had been decommissioned from our IT Systems.

All folders and files belonging to "OLD PC5A" have now been transferred to Disk C:\ in the "NEW PC5A" machine. This new disk has a capacity of 2.4 GB memory. This PC is now located at its usual location.

The so-called "PC15A" is now commissioned to become a new member to the Centre's IT Systems. It has been installed an additional hard disk named D:\. All the digital photos in "OLD PC5A" have been transferred into this hard disk. This disk has a capacity of 6 GB memory while the C:\ drives has 4 GB of memory thus totalling to 10 GB memories-more than enough for Julian's photography. Please download all photos to this drive and then burnt it off the CD-Writer.

I shall keep this 2 PCs as it is and wait for any feedback that you may have.

Care of Laser Printers

In order to ensure our laser printers are well looked after please take note of the following:

1. Do not leave items on top of laser printers. Sometimes pieces of paper, books, boxes, and so on are left on top of our printers.

The A3 printer in the Salon D'Or for example has had objects left on top of it frequently. There is an air vent on the top surface of that printer which needs to be kept clear.

Also a staple was found in a printer recently. Be careful not to have small objects near these printers as they can inadvertently fall into the printers.

2. Please do not put the paper we use in our ink jet/bubble jet printer into the laser printer as it will melt and damage the internals of the laser printer.

PC5A is being upgraded to a new machine, donated by Peter Boswell.

The old PC5A is to be decommissioned, with suitable hardware and or sound/graphics cards being removed and kept as backups.

PC5A will be a dedicated PC for the John D. Hughes Collection using Organise software.

All digital images have been removed to PC15A.

We thank the Chief Deva of Learning, the Deva of the Library, the Chief Deva of Information Technology and the Deva of Transformation for their help in the process of upgrading PC5A and the commissioning of the new PC15A, both located in the library.

We want three digital videos cameras that can be used as webcams. These cameras will be permanently installed in three stategic places at the Centre to tape events.

Cabling will need to be done for these cameras. We also will need suitable video editing software and learn how to use the new equipment.

Once we have acquired and installed the above we can easily tape events, store them digitally and even can present live online videos.

Digital video cameras can be purchased for prices as low as $299 and we are looking for persons who would like to donate these.

We plan to bind multiple copies of each edition.

We are in the process of registering the publication with the national body which looks after the allocation of ISBN numbers.

Michael McLean, Secretary, References Committee, Australian Senate has written to thank John D. Hughes and the Buddhist Discussion Centre (Upwey) Ltd. for our submission to the 'Inquiry into the Role of Libraries in the Online Environment'.

The Inquiry is by the Senate Environment, Communications, Information Technology and the Arts References Committee.

The Committee has resolved to publish to publish it and we are now free to refer to it in any public forum.

Our submission titled 'Inquiry into the Role of Libraries in the Online Environment' file ref: LAN 2 I:\seninq02.doc will be, saved as an rtf file, and emailed to Evelin Halls to be uploaded to the bddronline website for Vol.12 No.6

PC4A new external email folder for radio files

There is a new folder on PC4A called "radio" in the Outlook Express email program. All external emails related to the Buddhist Hour radio broadcast can be archived there.

For example, running sheets and introduction sheets prepared off-site and scripts prepared off-site can be saved in the new folder as well as any other files related to the Buddhist Hour.

This will speed up retrieval time of these important files.

The more recent files are already archived in the new radio folder, but previous files will still need to be archived.
