Sakyamuni Sambuddha Vihara


Our Teacher John D.Hughes and Anita will attend the opening of Sakyamuni Sambuddha Vihara held by the Buddhist Vihara Victoria on Saturday 20 April 2002 from 10.00am to 11.00am.


The ceremony in Loving Kindness Meditation will be conducted by Venerable Soma Thero, Chief Incumbent Monk of the Vihara at the premises of the New Vihara, 125 Homestead Rd, Berwick Vic., telephone number - 9548 4525.


John and Anita’s attendant and driver will be Julian Bamford. They will depart the Centre for the opening at 8.45am.



Cambodian Buddhist Association New Year


On Saturday 13 April 2002, Julie O'Donnell attended the Cambodian Buddhist New Year held at the Cambodian Buddhist Association of Victoria Inc., 159 Clarke Road, Springvale South, Victoria. 3172 on behalf of Anita and John D. Hughes.


The ceremony commenced at 11.00am with a speech by Venerable Sam Chhay, the newly elected President.


Honourable guests and other Parliamentary Members gave speeches of praise to the Cambodian Buddhist Association and the local community.

At 12.00 noon, Venerable Sam Chhay guided chanting of the Triple Gem, 5 Precepts and other blessings for everyone in attendance. A white blessing cord was spread to surround the entire inside of the Temple ensuring that all people were inside its boundaries. The Venerable Sam Chhay dedicated merit to all beings using the blessing cord as the boundaries of the mandala.


Blessing water was washed over every person at the ceremony.


Venerable Sam Chhay sent his blessings and regards to John D. Hughes and Anita Svensson and all Members of the Buddhist Discussion Centre (Upwey) Ltd. and hopes to visit when he is able.


Vice Secretary of the Cambodian Buddhist Association of Victoria, Mr Alexander C. Khun has set up a web site for the Temple. He wishes to set up a hot link to our web sites and will contact Julian Bamford to arrange a meeting.


May all beings share in the blessings of the ceremony.



Monk's Ordination and Robes


On 31 March 2002, our Teacher John D. Hughes guided the making of Monk's robes in the Mahayana colours for the former Eastern Gate protector named Mog, ordained as a Heavenly Monk with the name Venerable Narada.


Work on making the Monks robes commenced at around 3.00pm. The robes were made by Julie O'Donnell and Kate Ryan, with assistance from Lenore Hamilton and Rilla Pargeter.


Frank Carter and Rodney Johnson fitted the robes while Members offered light by torches.


The fitting of the robes was completed at 9.00pm (approximately).


On 5 April the robes for the second of the former Protectors, Mogog, were made by Anita, Rilla Pargeter and Lenore Hamilton. They were fitted in the early morning of 6 April.

Highest Yoga Tantric Initiation Cittamani Tara


The Venerable Geshe Tashi Tsering will be teaching the Highest Yoga Tantric Initiation Cittamani Tara and commentary on 17 and 18 May at the Atisha Centre, Sandhurst Town Road, Eaglehawke.


Geshe Tashi Tsering is an accomplished Master and life long dedicated practitioner of the entire field of Buddhist learning and practice.


Anita and John D. Hughes will attend the initiation teachings in the evening on Friday 17 May from 6.00pm to 9.00pm. John and Anita's driver and attendant will be Julian Bamford. They will depart for Bendigo at 1.00pm. Registration is at 5.30pm. Rilla Pargeter will prepare a 'picnic basket' of high nutrient food and liquids for the journey. The Temple Abbot during John and Anita's absence will be Rilla Pargeter (1.00pm to 6.00pm) and Lisa Nelson (from 6.00pm).


The following is an excerpt from 'Chorten - Newsletter of Atisha Centre' regarding the Highest Yoga Tantric Initiation Cittamani Tara and commentary.


"Tara (Tibetan Dolma) female meditational deity embodying the virtuous conduct of enlightened beings. Yogis and Yoginis of Tibet have long believed that in order to develop ourselves to fulfillment we require female wisdom-energy to bring out and sublimate the male quality of aggressive bravery. It lacks universal perspective. All Buddhas of the past, present and future rely upon the female wisdom energy symbolised by Tara, and we who seek enlightenment would be wise to do so ourselves." Lama Thubten Yeshe

Atisha and the Lamp for the Path to Enlightenment – Teaching by Dalai Lama


His Holiness the 14th Dalai Lama will give an explanation of Atisha's Lamp for the Path to Enlightenment in Melbourne on 20, 21 and 22 May 2002.

Our Teacher John D. Hughes and his wife Anita will attend the three days of teachings. Their attendant and driver will be Julian Bamford. Rilla Pargeter and Lenore Hamilton will prepare a picnic basket of high nutrient food and liquids for John D. Hughes, Anita and Julian Bamford for each day.

The seats booked are in the third row from the front in the lower reserve section.

On 14 April 2002 Members Jan Bennett and Julian Bamford commenced a weekly offering Dana by Buddha Dhamma chanting of our standard chanting sheet in the main hall at 7.00am.

The Medicine Buddha Puja


On 29 March 2002 Francisco So conducted The Bhaisaijaya Guru Vaitureya Prabha Rajaya Tathagata Puja Prayer Ritual (The Medicine Buddha Puja).


The Puja held at 33 Brooking Street (Upwey) Ltd. commenced at 9.30am until 12 midday and recommenced at 2pm until 4.30pm.


Lunch was prepared by Anita Svensson, Lenore Hamilton, Julie O'Donnell and Rilla Pargeter.

Members attending the Puja were Pam Adkins, Lenore Hamilton and Julie O'Donnell.


Attending the afternoon session were Frank Carter, Jocelyn Hughes and Lisa Nelson.


The Sutra and Prayer Ritual was read by Francisco So and members. These copies can be found in the Library in wall unit 8, shelf no. 251.



Vajera Sattva One Hundred Word Mantra


On Thursday 25 April 2002, visiting Teacher, Francisco So will conduct a puja titled "The Hevajra Tantra". The puja will commence at 9.30am to 11.30am and the second session will commence at 1.30pm to 4.00pm. Puja offerings such as round fruit, chocolate royals and flowers are acceptable.


On 31 March 2002, the Vajera Sattva One Hundred Word Mantra translated by Francisco So was typed by Rilla Pargeter. The file is located in i:\ida\pujavaj.rtf.



The Prajna Paramita Puja


On 1 April 2002 Francisco So conducted the Prajna Paramita Puja Prayer Ritual at the Buddhist Discussion Centre (Upwey) Ltd. The Puja commenced at 9.30am and continued until 11.45 am, recommencing after lunch from 1.30pm until 4.15pm. Lunch was prepared by Rilla Pargeter and Julie O'Donnell. Members attending the Puja were Pam Adkins, Isabella Hobbs, Jocelyn Hughes and Lisa Nelson.


The Vajraccedika-prajna-paramita Sutra (the Diamond Sutra) translated into Chinese from Sanskrit by Kumarajiva and translated into English from the Chinese version by Upasaka Lu K'uan-Yu (Charles Luk) was read by Francisco So and students.


Francisco So explained that this Sutra contains the essence of the 600 volume Prajna Paramita.


Francisco So reiterated from the Sutra that if someone expounds to others a four-line stanza of this Sutra, the merit would surpass the merit of filling the universe with the seven treasures and offering them as alms.


The Prajna Paramita Puja was recorded on 3 audio tapes. These can be found in the shelving above PC5A in the library.

When next at the Centre place the amount of the discount in an envelope marked 'flowers 5% discount' with the receipt and place in the Dana box.



Blessed Water Offerings on all Altars at the Buddhist Discussion Centre (Upwey) Ltd.


Offerings of blessed water on Centre’s and private altars are recommended on a weekly basis.


Lenore Hamilton and Lisa Nelson can advise Members about offerings, and the preparation of blessing water and the cleaning and filling of jars.


Ordinary main’s supply tap water is chlorinated and unsuitable to offer because it is too coarse.

Financial Results Red Hill Show Stall


The Chan Art & Gift Stall at the Red Hill Show held on 23 March 2002 made sales of $1345.


The financial results of the Chan Art and Gifts stall held at the Red Hill Show on Saturday 23 March 2002 were:

Around 70 persons visited the site to view paintings and goods on display, and were engaged in conversation by our site attendants, between the hours 9.00am and 5.00pm


55 Chan Exhibition & Auction brochures were handed out to interested persons attending stall. Their were 75 of these brochures in stock.


About 50 persons received one or more pieces of information about our Centre. The information items handed out included were: the Buddhist Discussion Centre (Upwey) Ltd. brochure, Buddha Dhyana Dana Review Vol. 10 No.3, and the Chan Academy program brochure for 2002.


All persons who accepted the Chan Exhibition and Auction brochure were directed to visit the www.buyresolved.com.au website.


Twelve percent of these persons indicated interest in attending the Auction on 9 September 2002.


A number of persons indicated interest in visiting the Centre.


Income per hour of work: $30.22 per hour


The Buddhist Discussion Centre (Upwey) Ltd. received a 25% commission from the

sale of the Chan paintings sold on behalf of the painter John D. Hughes. An amount of $312.50.


We thank Members who participated in the organizing and running of this stall.


We want to run it again next year.



Pending "Adopt a Stump" Fundraiser

The Coca-Cola Amatil vending service, telephone 132 445, was called on 3 April 2002 to refill the vending machine and to place another line of Diet Coke into the machine.


To organise for a restock of the machine call Coca-Cola Amatil vending service and quote our equipment number VAP511, which is located on the service label on the front of the Coca Cola vending machine.

7. CURRENT RESEARCH AND DEVELOPMENT INTERESTS


Probono Australia


The Federation 100 Hours Project was set up to run for a twelve month period to celebrate the Centenary of Federation.


The Buddhist Discussion Centre (Upwey) Ltd. participated in this project and as a result received free help from the legal firm Arthur Allens Robinson.


The Federation 100 Hours Project has now completed the twelve month term however it has not been disbanded.


The management of the project has been passed on to a commercial organisation named Probono Australia to run under the same terms and conditions as it was started. The only difference is the addition of a six monthly fee of $50.


Our Centre has registered with Probono Australia and we have requested free help from a volunteer who is a skilled Computer Technician. We have asked that this person be skilled in Windows and Linux LAN operating systems.

8. JOHN D. HUGHES NEWS


Our Teacher is 71 years. He is recovering from a heart attack. At his most recent consulation with his heart specialist on 16 April 2002, John was given a clean bill of health.


His blood pressure is now 120/80 and his weight reduction has now arrived at 90kg. He will continue to lose weight.


His twice daily blood sugar testing has been showing readings in the range 5-8 on most days.


The new target is 6.5 or lower in the morning pre-breakfast.


On 16 April 2002, his pre-breakfast reading was 6.4.


John wishes to thank Anita and all Members for providing a healthy environment at our Centre.


We wish our Teacher long life and good health.


His health improvement is aided by the fact he does not teach difficult persons who do not keep precepts.


Some of his present and past students are vegetarian and this fact improves his general health.


We wish to thank Dr. Tavivat Puntarigvivat Director of the Research and Development Institute World Buddhist University and the editors of the World Fellowship of Buddhists Newsletter Volume 5 No. 2 February BE 2545/2002 for their fine coverage of John D. 9. INFORMATION TECHNOLOGY NEWS


Anguttara Nikaaja on our LAN


The Anguttara Nikaaja as translated by the Venerable Sister Uppalawanna is available on our LAN system at i:/ida/anguttara.



Second LAN and email system coming soon


On 13 April 2002, John Watson ran a demonstration of the new Buddhist Discussion Centre (Upwey) Ltd. IntraNet and Email browser at his home for our IT Team, Julian Bamford, Evelin Halls, Kamfatt Lin and Pennie White.


The new system is to be installed in the next seven days, connecting to our second LAN cable. The system will be tested for a period of one week to finalise our functionality requirements.


A progress report on the IntraNet and LAN by the IT Team will be emailed to Members this week.



Maintenance of existing Eudora email on LAN


The LAN email was brought back on-line at aproximately 8.00pm on 13 April 2002.


On advice from John Watson, the first step in identifying and rectifying the problem was close Eudora on all PC's and reboot the server. This step was unsuccessful.


Step two involved John Watson providing instructions over the telephone to Julian Bamford who keyed in the UNIX language instructions to the server.


The LAN Eudora email system is serviced by the BDDM server.


By a series of trial and error server instructions, it was found the problem was being caused by a peaking of file storage capacity.


This was corrected by removing an effected file to free up space on the server. The integrity of the system and all email files are not effected by this action.


It is thought the age of the server is causing deterioration of operating performance and appearing as overload and email access denial.


To remedy the situation and extend the life of the server, John has advised that periodic archiving of all archived/stored emails from the server operating environment be carried out.


It is planned for this to be carried out over the next week.


It is thought the occurance of a second problem, a window appearing once the user has logged into Eudora, is unlikely to be related to the server, but be related to the windows based Eudora software.


The failure of the Eudora POP Server appeared initially as failure to transfer mail to a small number email addresses.


This problem has occurred a number of times over recent times.


When Members with effected email address attempted to access their email, a Eudora

specific password window is appeared.


When 'Password' was typed in and then entered, an error message appeared informing the user that the Eudora POP server is unable to transfer mail to their address.


The effected users are Leanne Eames, Brendan Halls and Jan Bennett.


A possible cause is when a new address is added to the SMTP the system is put out of sync randomly effecting some POP server email addresses.


Surfing of the websites of www.eudora.com and eudora technical support sites has not as yet found any solutions.


John Watsons assistance in solving this error will be sought.


As an interim measure to enable effected Members, Leanne Eames, Peter Boswell and Brendan Halls will use Julian Bamford's email for sending and receiving email messages.


They should head their email messages: Sent by.....(insert name)



Managing Our Websites


We presently operate eight websites which have various payment schedules and methods of payment.


In the future we aim be operating up to fifty individual websites.


To manage our websites effectively Frank Carter will compile a Website Administration Manual providing a summary overview of the administrative aspects of our sites.


Sites owned by John D. Hughes and Associates Pty. Ltd. will also be included in the manual.


Such information will include the website address and access password, the website host organisation and contact details, the websites account name and password with the host organisation, the due date for payment and payment methods, and the account management features.


The manual will also include a calendar which shows all payments due in the financial year providing notice of upcoming expenses for cash flow planning purposes. This will be a source document for our annual budget.


For example, the hosting company for three of our current sites

(bddronline.net.au, bdcublessings.net.au and buyresolved.com.au) is Oznet One who advise us by e-mail when our payments are due.


On 14 April 2002 payments totalling $174.45 for hosting these three sites for a three month period were made online to Oznet One.

New record for photographs loaded to Brooking Street Bugle Online Issue 77 and Buddha Dhyana Dana Review Online


On 12 April 2002, fifty one photographs taken with Digital Camera 2, owned by John D. Hughes were loaded to www.bsbonline.com.au for BSB 77 (planned publication date 13 April). This is a new record for the Brooking Street Bugle.


The photographs were loaded with the BSB77 header, with the publication text to be loaded after final editing.


New photographs are valuable assets for our Centre.


One photograph of the Buddhist Hour Team has also been loaded to the radio page of www.blessings.net.au. The remaining 10 Buddhist Hour photographs will also be loaded the the same website address.

The folder E:\photolan is where you copy files you wish to manipulate. They keep the same P number.


The folder E:\web is for images manipulated for the Internet.


A manila folder is kept of the downloaded and renamed files or other information near PC5A. Please document what you do here.

New Procedure for Print Copies of External Emails


Correspondence by email is increasing at a rapid rate.


Our organisation needs to streamline the way external email correspondence is handled so that members of our S5 management system spend time on urgent and important tasks rather than non-urgent and unimportant tasks.


It is the responsibility of Corporate Governance and Reporting Task Unit Members to efficiently and effectively manage incoming correspondence.


We have a procedure in place for electronic filing of external emails with fun (see procedure sheet at PC4 or the Corporate Governance and Reporting Procedure Manual).


We have a procedure in place for tracking incoming and outgoing correspondence with fun (see the Corporate Governance and Reporting Procedure Manual).


The procedure for managing print copies of external email correspondence is based on Buddha's method for the four types of students. The procedure is designed to help students galvanise their fun in Corporate Governance and Reporting tasks.


1. Action and Reply


For example: requests from associate bodies such as the World Fellowship of Buddhists.


Print 1 copy for action. Reply may be by mail and/or fax and/or email. File the original email with the reply in the appropriate file in Filing Cabinet FCA4 or FCA5 as per Corporate Governance and Reporting Guidelines.


2. Action, no reply


For example: requests from Buddhist Discussion Centre (Upwey) Ltd. Members to update html files on PC4 or actions required on our websites. This category also includes emails regarding general information about our websites from Buddhist Discussion Centre (Upwey) Ltd Members. These emails will be published in Longhair Australian News. This category also includes VET updates.


Print 1 copy for action. Note when the action has been completed, date and sign on the copy. File copy in appropriate lever arch folder. When the folder is full, archive the folder to Suite 11.


3. Reading, no reply


For example, IT Newsletters, Australian Library Newsletters, e-Praxis, Apple News, Quick Time News, ISYS.


Print 1 copy for John D. Hughes to read. Then file in the appropriate folder to be catalogued and stored as reference material in the John D. Hughes Collection Library. For example, all e-Praxis emails are to be filed into a folder labelled "e-Praxis".


4. No action, no reply


For example, advertisements or promotional material, or emails from unteachable persons.


Print 1 copy for filing in "Emails - No action required" lever arch folder in chronological order by date received. Once the folder is full, archive the folder in Suite 11.



Scanning Zip disks with the Vet


Sometimes we use Zip disks to transfer data at our Centre.


It is mandatory that all Zip disks gets scanned with the Vet before use.


Previously we have scanned hard drives, floppy disks and CDs, but we did not scan our Zip disks. This is a security risk because viruses could enter our systems via Zip disks.


How to vet a Zip disk:


The Zip drive has to be connected to the PC before you can vet a Zip disk.


Our PCs equipped for Zip drive use are PC4 and PC5.


Then just open the Vet, go to the Zip drive and scan it with the Vet as you would with any other drive.



Updating New VET on our PCs


On 5 April 2002, our anti-virus software was updated to VET Version 10.4.7 on some of our PCs by Pennie White.


The CD sent was used for the following PC's:

PC13A (Networked)

PC5A (stand Alone)

PC3A (stand Alone)


Master Installation Documentation was downloaded from the internet so that we can save the VET software to our LAN and update PCs without a CD-ROM drive. This printout is in the blue metal filing cabinet under VET.

Instructions for Updating using the LAN


Start, Run, I:\common\general\setup.exe


The Install Wizard will then take you through the steps. This process only takes a few minutes. The PC should be restarted when prompted.

Longhair News of e-publishing


The NZ government has introduced a new bill that requires "all publishers of electronic material to provide the National Library with Legal Deposit copies". This includes e-journals, CD-ROMs and websites. This is a recognition of the importance of electronic publications as a means of recording the country's heritage.


We expect that Australia will follow this model in the future.

We at the Centre have some experience with e-publishing. We have eight websites and three online journals as well as some CD-ROMs.


Our journals have registered ISSN numbers for print, but we have not completed the registration for the online ISSN numbers.


We need to apply for ISSN online numbers for our online publications Longhair Australian News, BDDR Online and BSB Online.



Members Write More New Emails


Members please always write internal emails containing information about events that will take place at our Centre. Please also write internal emails about events that are organised by our Centre but will be held elsewhere.


We need this information for a number of reasons, for example:


Emails inform the Devas and Devatas about what we are doing.


Emails increase our Members' awareness about what we are doing.


Emails inform the radio team about our events and very often these events will be announced in the Buddhist Hour radio program.


Emails get copied and pasted into the Brooking Street Bugle.


The coming events are uploaded onto our websites.


Our emails are a record of what we are doing.



Our new IT expert


We are happy to announce that Mr Kamfatt Lin has offered to help us with our IT systems.


Mr Kamfatt is an expert on Windows systems including hardware and software installation, all configurations and networking. Mr Kamfatt will assist John Watson with the installation of our soon to arrive new LAN.


We welcome this new Member to our IT Team.



PC5A - Upgrade and New Configuration


PC5A is now a stand alone PC with two purposes:


1. John D. Hughes Collection: cataloguing with Organise Version 6.0


2. Photographs and digital images: downloading of digital photographs from cameras, manipulating images for printing and websites, scanning of images, reading and burning of CDRoms.


Objectives:


We want PC5A running correctly for commencement of the Bhavana Course on 29 March 2002


This requires that the following software and hardware be operational:


1. Organise 6.0 be operational for the John D. Hughes Collection.

2. CDRead and Write software and hardware

3. HP ScanJet 4C scanner

4. Kodak Picture Easy software

5. Irfanview software

6. Iomega software

7. HP Deskjet 840C Colour printer

8. Lotus WordPro


Tasks completed:


1. Disconnection of UTP Patch Cable from the LAN

2. Removal of LAN settings from Network settings



Problems Experienced:


1. Graphics failure


Opening Picture Easy software from desktop, resulted in Graphics failing and screen going to black with coloured band.


Entered 'Esc' which resulted in PC shutting and rebooting.


Entered Control + Alt + del: PC went to shutdown.


This error has also occurred previously with clicking on shortcut to CDRom


2. Error messages


2.1 Opening CDRead and Write software from desktop:

Action: pressed 'Enter' blank screen resulted with single flickering horizontal line.


2.2 Using floppy disk to install HP DeskJet drivers:


'The system is either busy or has become unstable. You can wait and see if it becomes available again, or you can restart your computer. *Press any key to continue. *Press CTRL+ALT+DEL to restart your computer. You may lose any unsaved information in all applications. Press any key to continue.'


Action: pressed 'Enter' blank screen resulted with single flickering horizontal line. Then PC went to shutdown and reboot.


2.3 On using floppy disk to install HP DeskJet drivers:


'A fatal exception OE has occurred at 0137:BFFAGA3A. The current application will be terminated. *Press any key to continue. *Press CTRL+ALT+DEL to restart your computer. You may lose any unsaved information in all applications. Press any key to continue.'


Action: pressed 'Enter' 3 times (waiting for 10 to 15 seconds each time)


2.4 On opening ScanJet 4c scanner from desktop icon.


Scanner not found.


Action: right click on HP ScanJet desktop, go to HP ScanJet Properties, go to General tab: message 'No scanners found'


Next: go to Test: result 'is the SCSI bus properly terminated. See installation guide on proper termination use.

PC5A - New Graphics Card


PC5A installed with a new graphics card


Reason for this action:


It is likely that the current Banshee Graphic card (16meg) installed in PC5A has been damaged.


This is causing an incorrect connection being made on the card as it heats with use, causing the PC to interpret that power is no longer needed, onscreen graphics crash and the CPU shuts down the PC.


Solution:


1. Replace damaged graphics card with Gainword GeForce2 MX 200 32megabyte AGP.


This is an industry standard graphics card proving greater reliability and functional support to the software applications requiring graphics support on PC5A.


This card takes the work load from the PC's CPU, resulting in faster speed.

A Gainward GEForce2 MX Graphics card has been installed in PC5A.


Installation steps:


Step 1. remove Banshee graphics card


1. turn off PC, remove case cover, touch metal case of PC power supply to ground yourself.


2. remove mounting bracket screw holding graphics card, and lift card vertically out of PC (do not bend either way when lifting)


3. replace case and reconnect computer


Step 2.


1. boot up computer

2. press F8 key at completion of upload of drivers prior to Windows 95 boot up

3. on next window select SAFE mode

Australia Performing Rights Association New Licence Granted


The Australasian Performing Right Association Limited (APRA) issues a licence to businesses which play background music to persons at their business premises or which use music on hold on their telephone systems. The licence costs $64.96 including GST.


On 2 April 2002 we received an APRA Certificate confirming a licence has been granted to the Buddhist Discussion Centre (Upwey) Ltd. to perform in public and/or communicate works within the APRA repertoire. The Certificate is dated 1 January 2002.


The Certificate has been framed and placed on the North wall of the administration office.


Telstra Call Connect


The Telstra Call Connect feature on our phone system has been removed.


The average cost per use of the Call Connect feature on our recent phone bill was $1.55.



Landlord's Assets Quarterly Audit


The Landlord's Assets Quarterly Audit for the period 1 January 2002 - 31 March 2002 and the Landlord's Assets Future Quarter Report for the period 1 April 2002 - 30 June 2002 was presented to Anita and John D. Hughes by President Julian Bamford and Manager LAPAM Frank Carter on 31 March 2002.


These reports detail the activities of the Buddhist Discussion Centre (Upwey) Ltd. that had or will have a direct or indirect effect upon the assets of the Landlord, John D. Hughes, for the periods covered by the reports.


The reports are prepared in accordance with the Landlord and Tenant Act 1958 incorporating amendments as at 25 June 2001.


The Buddhist Discussion Centre (Upwey) Ltd. pays rent to the Landlord in the form of ‘peppercorn’ rental. The Landlord and Tenants Act 1958 (Victoria) recognises this relationship as the letting of a prescribed premises.



Buddhist Discussion Centre (Upwey) Ltd. New Database Data Entry


During the April 2002 Five Day Bhavana Course some of our Members worked on entering data into the BDC(U) Ltd. database. Our aim is to complete the entry of all contact addresses into the database by 30 April 2002


During the Bhavana course we had a target to enter 300 addresses per day.


Over the course Lainie Smallwood entered a total of 164 contacts into the Database achieving


On 29 March 2002: 84 entries in 4.5hours = 28% of target

On 30 March 2002: 80 entries in 2.5hours = 27% of target


In real terms the second day of data entry achieved a rate 48.5% of our daily target, based on a near doubling of the speed of data entry per hour.


On 14 April 2002 new record has been set by Lainie Smallwood entered 126 contact names into the Buddhist Discussion Centre (Upwey) Ltd. database in 2.5 hours.


In real terms, using our Bhavana course target of 300 entries per day, this equals 76% 0f target based on the increase in speed of data entry.



Buddhist Discussion Centre (Upwey) Ltd. New Database


In today's Information Technology Systems Management, "integrated systems" are found to be most beneficial. This means, one database for all, rather than various databases for each task.


Until we have all data available in our BDC(U) Ltd. database, we will continue to use the new database in tandem with our old CGR and BDDR mailing list databases.


Once this task is complete we will run the BDC(U) Ltd. database as our sold database. Our old databases will remain on the LAN as archives.


The advantage is that everything is in one place, retrieval time is fast, and persons only need to learn how to use the one database rather then many.


The only caution is not to tinker with the one database -- it is the only one you have got.


Regular backups are a must for databases.


A good database makes an organisation lighter because it helps preserve data.


It is a meritorious action to help entering data into our great new database.



Relocation of Filing Cabinet FCA3


On 31 March 2002 filing cabinet FCA3 for Buddhist Discussion Centre (Upwey) Ltd. files was relocated from the Amber Room to the Administration Office in Suite 2. The work involved clearing of space for the cabinet, relocation and leveling, was carried out by Frank Carter and Julian Bamford and took one hour.


New Filing Update


During the April 2002 five day Bhavana Course our CGR Task Team Members worked on streamlining, filing and archiving our organisations paper files.


On 29 March 2002, Pam Adkins, Julie O'Donnell and Rilla Pargeter sorted the filing in the Administration Office.


Pam Adkins sorted the drawer 4 of FCA5 into alphabetical order. Pam filed for 3.5 hours.


Julie O'Donnell sorted part of the outstanding filing into alphabetical order for filing into Buddhist Discussion Centre (Upwey) Ltd. and Other Organisation filing cabinets for 5 hours.


Rilla Pargeter sorted drawers 4 and 3 of FCA4 into strict alphabetical filing. Rilla filed for 8.5 hours.


Isabella Hobbs sorted the Other Organisation files L to S into alphabetical order in Filing cabinet FCA5. The filing took 6 hours.


On 30 March 2002, Isabella Hobbs, Julie O'Donnell and Rilla Pargeter sorted the filing in the administration office.


Isabella Hobbs sorted the Drawer 3, Drawer 2 and part of Drawer 1 of FCA5 into alphabetical order. Isabella filed for 6 hours.


Julie O'Donnell sorted almost all of the outstanding filing into alphabetical order for filing into Buddhist Discussion Centre (Upwey) Ltd. and Other Organisation filing cabinets for 6 hours.


Rilla Pargeter sorted drawers 2 and 1 of FCA4 into alphabetical order. Rilla filed for 8 hours.


On 31 March 2002, Julie O'Donnell and Rilla Pargeter sorted filing in the Administration Office.


Julie O'Donnell completed putting outstanding filing into alphabetical order ready for filing into Buddhist Discussion Centre (Upwey) Ltd. and Other Organisation filing cabinets. Julie sorted filing for 1 hour.


Rilla Pargeter filed 70 files into letters A to H in Other Organisations filing cabinet FCA4 from outstanding correspondence and sorted files in filing cabinets FCA4 and FCA5. Rilla filed for 5 hours.


Members are invited to help with the completion of file archiving and ongoing data entry and filing.



Washing and Autumn drying of clothing and other items


The weather is changing as Autumn develops and is being wetter. Drying must be scheduled.


Please remove the dry clothes off the line before adding the wet items. When hanging out the washing make sure you shake the item, so that it does not stay crinkled before you hang it up.


Items that are crinkled do not dry well and a noticable damp and stale order remains on the items.


When items are removed from the line they need to be folded before placing in the basket in the amenities block.


Half dry clothes may be placed near the wood heater in Suite 3 overnight by dry completely.

Retrieval of Resources from Onsite and Offsite Stores


We are working to preserve our resources and improve retrieval time of those resources at both onsite and offsite storage spaces.


As part of our resource management program we are going to relocate more of our stored resources to our offsite storage's.


This means we require increased space to be available at our offsite storage spaces.


Currently we have resources located offsite in Suite 11A at Rodney Johnson's home, at Julian Bamford's home, at Brendan Hall's and Julie O'Donnell's home, at Frank Carter's home, and at his company warehouse.


To manage our resources for a two second retrieval time we need to catalogue all these resources, and fit appropriate shelving.


To carry out the offsite stage of this work, Rodney Johnson and Brendan Hall will over the next month or so work offsite. They will be creating new shelving space at two of our remote sites, and will catalogue the resources stored at all of our offsite locations.


Once catalogued the computer hardware which is found to have limited or nil use as a resource, will be sold or given away by Frank Carter to other organisations or buyers.

How to Catalogue Newsletters and Journals in the JDH Collection


1. Use PC5A

2. Log in

3. Go to Start, Programs, Organise Your, then Click on Organise Your Collection. The JDHCOLL database will appear.


On top of the wall units in the library, you will see a series of newsletters/journals stored in metal or cardboard storage units. They are in alphabetical order and should be sorted by issue number and date within each unit. Please check ordering before continuing with cataloguing.


A yellow dot on a storage unit indicates that its contents have been catalogued.


Proceed to the next storage unit without a yellow dot (For example, the Anumodana newsletters have been catalogued, so the next newsletter or journal to be catalogued will be Bodhedrum).


4. Study the newsletter or journal. You will find that the following fields will contain the same information from issue to issue: Title, Classification, Dewey No., 1st Ed, Subject, Date (date of cataloguing), Binding (J for Journal or N for Newsletter), Person (Your initials),

Publisher, Address, Copyright, ISBN No.


5. Fill out one entry with this common information. USE CAPITALS. Please note: The majority of newsletters or journals will be classified under Buddhism - General with Dewey No. 294.3. For the three letters after the Dewey No., put the first three letters of the title of the newsletter or journal, e.g. 294.3 ANU (for Anumodana). In the Subject field, type in "Newsletter (or Journal) in (language e.g. English)".


6. Do not complete the Author fields (as there are usually many authors of the different articles) or the Shelf field.


7. After completing one entry, CHECK SPELLING, click on Save, then click on Copy Last, then save, then Copy Last and continue to do this until you have added the total number of newsletters or journals for that title, e.g. there were 62 copies of Anumodana so I saved and copied the common information 62 times. (I used the Entry No. in the bottom left hand side

of the screen to calculate when to stop copying, i.e. there were 4046 entries before I started to catalogue this newsletter, so I stopped copying when I reached 4108 entries).


1. Go back to the first entry for the newsletter or journal you are cataloguing and type in the information for that particular volume/issue.


Eg. In THISED, type in Vol.1, No.1 etc. as per the front of the newsletter. Whatever system you use, BE CONSISTENT. Refer to the Anumodana entries.


In the COPY field, type in 1/1 for the first entry, 2/2 for the second entry and so on. Type in the number of pages, if it does not have a number on the last page, do not worry about counting the number of pages, leave it blank. Please note: Although the Publisher and Address were entered in earlier, check to make sure it is the same as you progress through the

newsletters or journals. When I catalogued the Anumodana newsletter, the name of the Publisher and the Address changed over time. Also, with the ISBN No. (with newsletters and journals it is the ISSN No. however, as we are using the database for books as well, this field will remain titled ISBN No.), there may not have been one to begin with but there could be one later on. Just keep checking.


9. When you finish entering information for one entry, CHECK SPELLING, click on Save, then click on Next to get to the next entry. REMEMBER TO SAVE AFTER EACH ENTRY.


1.Backup: After you have finished entering data for all the newsletters or journals in one storage unit, you must backup the database. Two Library backup floppies can be found in the top draw of the PC5A desk.


Insert floppy.

Go to File and click on Backup/Recover

Push any key

Type in B for backup, then A for A drive

Follow the prompts.

Once completed, insert the second library backup floppy and repeat process.


11. Mark storage unit with a yellow dot, found in the drawer of the PC8A desk. Place newsletters and journals back on top of wall unit.



Chan Academy Sumi-e Classes with Master Andre Sollier


The Chan Master Bodhidharma was the theme for the Chan Academy’s second Sumi-e class for 2002, taught by visiting Master Andre Sollier on Saturday 23 March 2002.


The class ran from 10am to 3pm with four students: Neil Bateman, Leila Lamers, Julie O'Donnell and Mary Stoney. Jan Bennett was attendant to Andre Sollier.


Rilla Oellien and Jan Bennett prepared and offering lunch to the Teacher and students.


The next class will be held on Saturday 20 April 2002.

The upcoming maintenance projects are detailed in the three monthly Landlords Quarterly Assets Report presented to the Landlord at the end of each quarter. The report details the planned activities of the Buddhist Discussion Centre (Upwey) Ltd. for the quarter 1 April 2002 to 30 June 2002 which will have a direct or indirect effect upon the assets of the Landlord, Mr. John D. Hughes, at 33 Brooking St. Upwey 3158, Victoria at the Landlord's discretion.


The report was prepared by Julian Bamford, B.A. App.Rec., President and Director, Frank Carter, B.Ec., Manager LAPAM.


Occupational Health and Safety


1. Brightly coloured tape to be placed on string lines for new kitchen/dining

2. room to enable ease of sight at night. Date completed: 6 April 2002.

3. Batteries in torches replaced as required. Store of backup batteries to be purchased.

4. Cleaning of power connection socket into Caravan.

5. Cleaning of top of water tank South East corner next to driveway.


Security


1. External light systems globes replaced as required. Checked nightly.


Fire Prevention


1. Clean gutters of leaves and debris - monthly and as required.

2. Batteries in smoke detectors checked two monthly.

3. Removal of remaining garden litter from humus heap at west end of driveway.

4. Removal of timber and building materials from in front of Suite 10.

5. Removal of timber and building materials from between Suite 10 and Suite 11.

6. Updating of Fire Prevention Manual


Insurance and Public Liability


1. Payment for renewal of insurance policy with Aon Insurance Services to be made by due date 14 May 2002.


Administrative Improvements


1. Fixing of notice board to East railing on Golden Pavilion.


Assets


1. Sorting of tools and maintenance/building materials in tool trailer and tool cabinet (next to Suite 11) for quick and easy access. 1 - 7 April 2002.

2. Stages of construction of New Kitchen/Dining Room including excavation to land surface according to building plans, excavation of 44 stump holes to depth of 600 mm, construction of floor and sub floor structures, and construction of external wall framing, roof framing and cladding.

Windows cleaning program


Commencing on Thursday 18 April, Jan Bennett will be cleaning all windows and glass on outdoor altars every second week. The windows to be cleaned are in three groups to be cleaned on a six weekly rotating basis.


The dates of the window cleaning program will be entered into the yearly Organise Do List.

Terracing of Eastern Fence Garden


The lawn area between the Eastern Fence Tree Garden and the Australia Stone Wall Flower Garden is to be terraced using the soil excavated from the building of the new private kitchen and dining room. The soil will cover the exposed

tree roots and enhance the sitting area.


In preparation for this landscaping, the Temple tree in the North end of the Australia Stone Wall Garden has been toparised by Peter Boswell, under John D. Hughes guidance, to create a view of the Chan garden looking North through the bamboo and trees on the south side of the Australia pond.


This project will proceed on approval from the Council for the pending building permit for the new Kitchen and Dining Room.



Outdoor Chairs at the Centre


When outdoor chairs are stacked for garden maintenance, such as mowing of lawns, it is important they be unstacked on completion of the task, so persons arriving at the Centre will feel welcome and have a place to sit down.


Stacking of the study chairs in the library and main hall is not permitted as this practice can damage the chairs.



Standard Rose Behind New Private Kitchen


The standard rose behind the new Private Kitchen site and in the way of the path through the southern gate to the front door was moved into the front garden bed beside the driveway,


Peter Boswell and Julian Bamford completed this task in 40 minutes.

14. MEMBERS' NEWS


As from 31 March 2002, Rilla has returned to using her maiden name. Rilla will now be known as Rilla Pargeter.


Joel Svensson achieved a grade of 86% in his Year 7 Mathematics test.


Jocelyn Hughes has commenced a daily swimming program for her health.


During April 2002 Rilla Pargeter, Julian Bamford and Frank Carter restored the front entrance to Frank Carter’s home in Belgrave Heights with freshly potted geraniums, these were from the geranium plant beside the Padmasambhava Altar at our Centre and are blessed. The chi is improved because the front door has been shut for some time.


Amber Svensson is to exchange jogging for walking.


Lisa Nelson is furnishing her room at Belgrave. Members are requested to give furniture and fittings to help her.


On Saturday mornings Rodney Johnson and Brendan Halls walk with the Monks from the Sanghaloka Forest Hermitage in Kallista, on their alms round, carrying the Monks bag.


Jan Bennett attended the Buddhist Hour radio broadcast on 14 April 2002 and joined in the Buddha Dhamma chanting with radio team Members.


Our Secretary, Rilla Pargeter has been at Horsham attending to her unwell mother. Her mother was operated on last week. Rilla has been arranging support services for the convalescence of her mother and support for her father. We wish them well.
